Smart Kids TMS is a staff system for one tuition centre. It keeps student records, class schedules, monthly fees, exam fees, extra charges, and reminders in one place. Staff sign in, work from a dashboard, and record payments themselves. There is no parent login and no online payment gateway.
The challenge
A tuition centre has to track who is enrolled, which class they attend, and what they still owe. That money is split across a monthly fee, an admission fee, exam fees, and one-off charges. Doing this in notebooks or spreadsheets makes it easy to miss a partial payment, lose a student’s contact details, or prepare the next month’s fees by hand. Staff also need a simple student number they can change, without keeping numbers for students who have left.
Our solution
The system is a web app for centre staff. A React screen talks to an Express API, and PostgreSQL stores the records. Each active student has an ID from 1 upward. Deactivating a student clears that ID and closes the gap. Staff can change an ID, and the other active students shift to keep the sequence intact. Classes hold a weekly schedule and the students enrolled in them. Fees are generated for every active student for a chosen month, then marked paid, partial, or unpaid. Exam registrations and extra charges are recorded the same way. A dashboard shows what was collected and what is still outstanding. Staff can export the records and set reminders for follow-ups.
Results
Staff can see, for each student, the grade, parent contact, date of birth, address, and every unpaid monthly fee, exam fee, and admission fee. The student list shows a running outstanding balance, and the dashboard totals collection and debt for the current month. Generating a month of fees no longer means typing one row per student. Deactivated students stay on file without an ID, and restoring one places them at the end of the active list.
